Job Profile

The primary role of an Operations Coordinator is to work closely with Logistics to ensure that job preparation requirements and data entry is completed prior to workers being dispatched to ensure a seamless transition from the planning phase of projects to the execution phase. The Operations Coordinator will also process data from the field for invoicing as an integral part of project close out initiation.

Job Duties

  • Review of employee safety courses orientations prior to being dispatched to ensure compliance with client requirements
  • Assist with call answering into dispatch when volume requires
  • Schedule staff to complete safety courses, customer orientations and DFI competencies as required to maintain compliance
  • Assist in the procurement of 3rd party services and transportation quotes
  • Build and process hourly job packages for submission to A/R
  • Process bid job packages from the field for submission to A/R
  • Create Contract Reconciliation documents to ensure seamless invoicing
  • Manage company fuel card issuance and issues
  • Assist with onboarding of new hires
  • Train new field operators, class 1 drivers and supervisors on field ticket and bill of lading completion
  • Enter load tallies
  • Booking of crew accommodations
  • Upload schedules to internal reporting system for use in the field
  • Audit and manage crew safety tickets and competencies

Qualifications

  • High school diploma
  • Proficient with Microsoft Office Suite
  • 2+ years in construction administration or
  • 2+ years in logistics administration role
